All booths include 8-ft tall rear panels and 3-ft tall side panels (if appropriate), 1× 6-ft skirted table, and 2x chairs.
All booths receive free listing and link with map on the Blue Nose Marathon Expo Event Hub page.
Exhibitor is responsible for add-ons, i.e., electricity. Full price list to be included in the Blue Nose Marathon Expo Exhibitor Guide provided after booking.
Exhibitor assumes the responsibility for obtaining any required licenses for vending their product or service.
Limited storage off Expo floor available upon request. Must email event to arrange.
Event Terms and Cancellation Policy:
Payment in full is required within 30 days of your booth reservation. All prices exclude HST.
Participation in the Blue Nose Marathon Expo is subject to booth availability. Preferred booth option will not be guaranteed without 100% payment. The Organizers reserve the right to make changes to the floor plans and flow as deemed necessary for the delivery of the show.
Important Dates
• Booking deadline Friday, April 25, 2025
• Show opening Friday, May 16, 2025 - 10:00 AM
Cancellations up to and including thirty (30) days from show opening (Wednesday, April 16, 2025) will be subject to a 50% refund of booth fees.
Cancellations after thirty days from show opening, including bookings on or after Thursday, April 17, 2025, will not be subject to any booth refund.
Cancellations and changes must be made in writing to Blue Nose Marathon.
Once your application is confirmed, you will be sent the Blue Nose Marathon Expo Exhibitor Guidelines with all the details to help with your participation
Additional Terms and Conditions
1. DEFINITIONS
In these Terms and Conditions,
“Exhibitor” refers to any person, firm, or company who has made an application for, and who has been granted, space at the Exhibition.
“Exhibition” and “Expo” refer to the event detailed on the Space Application Form (i.e., EventHub);
“Exhibit” refers to any activation, equipment, and/or assets belonging to the Exhibitor for use or display in their booth space during the Exhibition; and
“Organizers” refers to the Blue Nose Marathon and its staff and representatives.
2. DURATION OF EXHIBITION
Exhibitors agree to occupy only the contracted space during the show and to not impede aisles or adjacent Exhibitors. Exhibitors agree not to sublet their space, sell merchandise, and/or advertise services not approved by Blue Nose Marathon. Failure to do so may result in the Expo restricting or rejecting any Exhibit that they deem appropriate prior to, during, and after the Expo.
a. The Exhibitor agrees to:
i. Complete their Exhibit set-up between 1:00 PM and 8:00 PM on Thursday, May 15, 2025, and/or between 7:00 AM and 9:30 AM on Friday, May 16, 2025,
ii. Be ready with staff in booths by 9:45 AM on Friday, May 16, 2025,
iii. Operate their Exhibit during all Expo hours. Hours may be subject to change, and
iv. Ensure cleanliness of booth at all times.
b. Exhibits shall not be dismantled during the entire run of the show and all Exhibit materials must be removed promptly at the end of the show.
c. All Exhibits, and related material must be removed from the Zatzman Sportsplex by 8:00 PM on Saturday, May 17, 2025. Material not removed by this time will be subject to storage and shipping fees.
3. APPLICATION FOR SPACE
Applications for space must be made on the Organizers’ official online Space Application Form and must contain information on Exhibits to be displayed and type of activity on the booth. The Organizers reserve the right to accept or reject any application. Application for Space by the Exhibitor and the allotment of Space by the Organizers shall constitute a contract subject to these terms and conditions and any regulation deemed to be incorporated herein.
4. LICENSES AND PERMITS
The Exhibitor assumes the responsibility for obtaining any required licenses or permits for vending their products in the Zatzman Sportsplex and any costs that may be incurred by the Expo due to failure to secure proper licensing or permits.
5. BOOTH ASSIGNMENTS
The Organizers reserve the right to determine Exhibitor, product eligibility, and location, taking into consider all special requests.
Booth number assignments will be confirmed on or before Wednesday, May 7, 2025.
The Organizers reserve the right to relocate Exhibitors and alter the floor plan for the overall benefit of the Expo, its Exhibitors, and guests at any time.
6. REMOVAL OF EXHIBITS
The Organizers reserve the right to require the Exhibitor to remove any Exhibit not specified on the Space Application Form. Or which is being exhibited at any Exhibition if the Organizers in their absolute discretion consider that the same is libelous of an obscene nature or may infringe the rights of any third party or which the Organizer consider in their absolute discretion to be undesirable or detrimental to the Exhibition, other Exhibitors, or the general commercial interest of the Organizers or any other company from time to time forming part of the same group of companies of which the Organizer form part.
7. ATTENDANCE
The Exhibitor acknowledges that the Organizers shall not be held responsible for the failure of all or any other contracted Exhibitors to attend the Exhibition or the failure of any number of attendees to attend the Exhibition for any reason beyond the reasonable control of the Organizers.
8. INSURANCE
The Exhibitor assumes sole responsibility and liability for any losses or damages to their property or Exhibition property caused by themselves or their representatives and should obtain insurance that covers this and indemnifies and holds harmless, both Halifax International Marathon Society and Zatzman Sportsplex. All organizations setting up displays shall carry General Commercial Liability insurance for $1,000,000 and be able to submit proof of coverage upon request.
9. EXHIBITION MATERIAL
a. All goods delivered to the Exhibition premises must be accompanied by, or received by, a representative of the Exhibitor.
b. No goods may be exhibited, offered for sale, or sold by an Exhibitor which bears the logo of the Blue Nose Marathon or any name similar without the express written consent of Blue Nose Marathon.
c. No Exhibitor may show or sell souvenir clothing relating to previous Blue Nose Marathons.
