Important Notes:


Filling out a vendor application does not guarantee a space. All vendors must be accepted by fair management in order to participate at the 2021 fair. Vendors applications will be reviewed within 5 business days and either accepted or denied based on the information provided. Upon acceptance, vendors may then submit the necessary documents in order to participate. Once all paperwork has been submitted, an "all complete" notification will be sent.


Vendor booth spaces are sold in 10x10 increments.

"NO TENT" - the fair does not provide a tent for that booth space, but you are encouraged to bring your own.


We offer a map of booth spaces during the application process where vendors may select their preferred space. The final layout and vendor booth spaces will be determined by fair management and released 2-3 weeks before the fair.



***NEW TO 2021****

The addition of 140 indoor booth spaces in the Phillips 66 Center! The previous tented Vendor "B" Area has been converted into an open, family oriented space. Vendors seeking an outdoor booth may book a spot in the C, D and E areas.

Vendor hours are from 10:00 a.m.-10:00p.m. all ten days of the fair. Booths must be staffed at all times, and concessionaires must open their booths on time and remain open until the specified time.

The following information is intended to give you an overview of some of our policies. A complete Vendor Rules and Regulations will be included, upon acceptance, with your contract.

Fair Dates – Thursday, August 12 – Saturday, August 21, 2021

**Payment (non-refundable) is required with signed contract**
There are no discounts in space rental fees for non-profit organizations.

Booths must be staffed from 10:00 a.m. to 10:00 p.m. all 10 days of the Fair, no exceptions.

All Commercial and Food Booths come with weekly season pass wristbands, the amount of passes is outlined in your signed contract upon acceptance.

General Liability Insurance is required with not less than One Million Dollars (1,000,000.00) combined single limit per occurrence and One Million Dollars ($1,000,000.00) Aggregate for bodily injury to one or more persons and property damage with Northwest Washington Fair Association listed as additional insured. Also included must be the “additional insured endorsement” page.



Teardown:

Final Saturday Night:
ALL exhibits are to remain intact until 10:30 p.m. closing time.
Dismantling and removal also from 8:00 a.m. to 6:00 p.m. Sunday, and 9:00 a.m. to 4:00 p.m. Monday & Tuesday following Fair.


Restocking hours during Fair:
Vehicles will be allowed on the Fairgrounds from 6:00 a.m. to 8:00 a.m. with pass.
No vehicles will be allowed inside the gates after 8:00 a.m.

Parking/camping passes:
There is no designated exhibitor parking lot. Please return the parking form, which will be included with your contract packet, as soon as possible to reserve a parking spot.

Electricity:
110 volt, 20 amp of power is included with your booth rental fee. Additional power, if needed, must be ordered on “Attachment A”. Order form will be included in your contract packet.

Indoor Booths:
The Fair will provide 3’ high sidewalls and 8’ high back walls of pipe and drape. No built-up exhibits or other construction shall exceed 8’ in background height and 4’ in sidewall height (without special permission from the Fair Management) including company name or other advertising. All carpets and exposed electrical cords must be taped down on edges with vinyl tape only (residue free). No blue or clear plastic tops or unpainted wood or plywood on the display. All tables are to be in good condition, fully skirted, and must compliment the color scheme of the booth.

Outdoor Booths:
In some outside areas the Northwest Washington Fair provides the tents as part of the booth fee. No blue tarps will be permitted for coverage, shade or awnings. No blue or clear plastic tops or unpainted wood or plywood on the display. Vendor is responsible to bury any exposed electrical or misc. cords.

Subletting of space is not allowed.

Special Notes

The Northwest Washington Fair concessionaire hours are 10:00 a.m. to 10:00 p.m. all 10 days of the Fair. All concessionaires must open their booths on time and remain open until the specified closing time. Booths must be staffed at all times. All buildings must be cleared immediately after closing so the area can be secured.
